Chairs can configure conferences to accept copyright forms from authors in a variety of ways:
- Authors or chairs can submit a scanned form in PDF and image formats (not recommended for IEEE conferences);
- Authors can acknowledge a conference-specific copyright question (not applicable to IEEE conferences);
- For IEEE conferences, EDAS can set up the eCF (electronic copyright) function, which directs authors to an IEEE site and that site then reports back once the author has completed the copyright form (the conference does not need to manage or collect forms);
- Chairs and publication chairs can collect copyright forms in some other way and simply record the date of the copyright submission.
For IEEE conferences, we strongly recommend the use of eCF, as it is much easier to manage for both authors and chairs. The classical copyright forms must not be used, as use of such forms requires far more coordination with IEEE and may significantly delay publication of papers in IEEE Xplore.
The IEEE conference record number, a 5-digit number, is required to enable eCF. Typically, it is set up by uploading the IEEE Letter of Acquisition (LoA), but can also be entered manually in Conference:Configure.
Authors of accepted papers can submit copyright forms via the (c) link in the My Papers tab, as shown below.
A link can also be found on each paper page.
Copyright only applies to accepted papers. The functionality is not visible for papers under review.
Chairs can test eCF.
